Manage Tags

Tag Management in Customer Portal is your central place for keeping tag information accurate and up to date. From here you can view and edit the details associated with each tag in your organisation, manage tag status, and request new or replacement tags from the IOR team.

Key features

  • View tag details – View the full details for each tag in your organisation, including tag numbers, active/inactive status, the last transaction date and time, and the vehicle or driver the tag is assigned to.

  • Edit tag details – Edit the details associated with a tag, including the PIN, assigned rego and vehicle, or cost centre department or task.

  • Request tags – Submit a request for new or replacement tags to the IOR team. Use this when you need additional tags, or replacements for broken, damaged, or stolen tags.

  • Deactivate tags – Deactivate tags that should no longer be used.

  • Request activation of tags – Activate spare tags, or tags that have previously been deactivated. Note that IOR will need to process a request to activate before the tag can be used.

  • Request daily limit or product changes – Modify the daily limit or assigned product for a tag. Note that changes to daily limits and products will remain pending until processed by the IOR team.

  • Filter, sort, and export – Use column filters to find the exact tags you need, and export your tag list to CSV for reporting and reconciliation.

 

Viewing tag details

  1. Navigate to Tags in the left sidebar and select Manage Tags.

  2. Choose how you’d like to view the list of tags:

    1. Card view provides a grid view which highlights the important details of each tag.

    2. Table view provides a list with tables and columns showing the details of each tag.

  3. In card view, click on the tag to view its full details, including tag number, status, assigned vehicle or driver, cost centre, and last transaction date and time, as well as the products and daily limit that applies to that tag.

 

Finding specific tags

  1. Navigate to Tags in the left sidebar and select Manage Tags.

  2. Use the Quick Filters to switch between active tags, inactive tags or tags that have been used today.

  3. Use the Search box to quickly filter the list by tag number, vehicle rego or description, department or cost centre.

  4. Use the Filter button to:

    1. sort the list by transaction date, tag number, registration, vehicle description or cost center.

    2. filter the list by transaction date, tag details or organisation details.

  5. In table view, click the arrow icons in the column headings to sort and filter based on the row content.

 

Reassign a tag

  1. Navigate to Tags in the left sidebar and select Manage Tags.

  2. Find the specific tag you’re interested in.

  3. In card view, click on the tag you want to update.

  4. Update the vehicle information as required — rego or vehicle description.

  5. Click Save Changes to apply your changes.

 

Updating the PIN for a tag

  1. Navigate to Tags in the left sidebar and select Manage Tags.

  2. Find the specific tag you’re interested in.

  3. In card view, click on the tag you want to update.

  4. Update the PIN — enter a numeric code between 4 and 6 digits.

  5. Click Save Changes to apply your changes.

 

Updating the details for a single tag

  1. Navigate to Tags in the left sidebar and select Manage Tags.

  2. Find the specific tag you’re interested in.

  3. In card view, click on the tag you want to update.

  4. Update the relevant fields — vehicle information or specific tag information: products, daily limit, user, cost centre, department or task.

  5. Click Save Changes to apply your changes.

Note: Changes to the daily limit for a tag will be processed by IOR before taking effect. You will be notified by email once this change has been processed.

 

Updating multiple tags

  1. Navigate to Tags in the left sidebar and select Manage Tags.

  2. In table view, click on the Edit button above the list of tags.

  3. The entire table becomes editable.

  4. Update the relevant fields, then click Save to apply your changes.

Note: Some update to tags will be processed by IOR before they take effect. You will be notified by email once this change has been processed.

 

Requesting a new or replacement tag

  1. Navigate to Tags in the left sidebar and select Manage Tags.

  2. Click on the Request Tag button.

  3. Step through the New Tag Request form and provide the necessary details.

  4. Submit your request. The IOR team will process it and be in touch.

 

Deactivating a tag

  1. Navigate to Tags in the left sidebar and select Manage Tags.

  2. Find the specific tag you’re interested in.

  3. In card view:

    1. Click on the tag you want to update.

    2. Under Status, click Inactive.

    3. Click Save Changes.

  4. In table view:

    1. Click the Edit button.

    2. Toggle the slider in the Status column.

    3. Click Save.

Note: Deactivated tags can no longer be used to record fuel transactions.

 

Activating a tag

  1. Navigate to Tags in the left sidebar and select Manage Tags.

  2. Find the specific tag you’re interested in.

  3. In card view:

    1. Click on the tag you want to update.

    2. Under Status, click Active.

    3. Click Save Changes.

  4. In table view:

    1. Click the Edit button.

    2. Toggle the slider in the Status column.

    3. Click Save.

Note: Activating a tag will be processed by IOR before taking effect. You will be notified by email once this change has been processed.

 

Changing the daily limit or product on a tag

  1. Navigate to Tags in the left sidebar and select Manage Tags.

  2. Find the specific tag you’re interested in.

  3. In card view:

    1. Click on the tag you want to update.

    2. Under Tag Information, enter a new value into the Daily Limit field, or select the relevant Product(s).

    3. Click Save Changes.

  4. In table view:

    1. Click the Edit button.

    2. In the Daily Limit column, enter a new value, or select the relevant product(s).

    3. Click Save.

Note: Changes to the daily limit for a tag will be processed by IOR before taking effect. You will be notified by email once this change has been processed.
